The serious stuff: roles & responsibilities

  • What you’ll want to keep in your back pocket
    • Prepare production budgets with management and ensure proper follow-up.
    • Create timelines, track progress, and set goals and objectives.
    • Build and maintain detailed production files.
    • Define staffing needs, recruit, assemble, train, and lead coordination and production teams.
    • Supervise and mentor coordinators and production staff.
    • Manage all logistics for events.
    • Negotiate agreements and pricing with internal and external partners (venues, suppliers, printers, contractors, etc.).
    • Solve work and staffing issues during production.
    • Improve and optimize internal management tools.
    • Act as the main point of reference for all production teams and ensure follow-ups.
    • Oversee setups, stage preparations, seating plans, parking, communications, and other event-specific tasks.
    • Manage teams onsite during event days.
    • Review quotes and negotiate pricing.
    • Determine needs for signage, guest services, multimedia equipment, printing, technical services, décor, etc.
    • Manage related contracts.
    • Plan and distribute all required documentation before and after events.
    • Conduct research and co-develop creative concepts with the Creative Director.
    • Be autonomous and capable of thriving under pressure and tight deadlines, with strong attention to detail.
    • Perform other management-related tasks as needed.

 

What you’ll want to keep in your back pocket

  • What you’ll want to keep in your back pocket
    • Minimum 5 years of experience as a Project Manager in the event industry (agency experience in Montréal is an asset).
    • University degree in project management, marketing, business administration, or a related field.
    • Bilingual: fluent in English and French (spoken and written).
    • Strong people skills and a great sense of collaboration.
    • Excellent command of Microsoft Office (especially Excel).
    • Valid driver’s license (access to a car is an asset).
