Context
During the 42nd General Assembly of the International Civil Aviation Organization in Montréal, Lulu Événements delivered a high-level diplomatic reception on behalf of the General Civil Aviation Authority (UAE). Welcoming approximately 1,700 international delegates from over 170 countries, the event was conceived as an immersive guest journey highlighting Emirati heritage, aviation leadership, and the UAE’s vision for future mobility.
Rather than following a traditional reception format, the narrative was communicated through space, movement, and atmosphere, allowing guests to experience the story progressively throughout the evening.
Experience Design and Ceremony
Ceremonial elements were embedded within the guest journey rather than confined to a single stage or rigid program. Cultural identity was expressed through immersive environments, including custom-built immersive souks and a full-scale mosque courtyard replica, while cultural welcomes, live performances, and symbolic gestures unfolded organically throughout the space.
This approach allowed tradition, protocol, and celebration to coexist seamlessly, transforming ceremony into a shared experience shaped by movement, atmosphere, and spatial storytelling.
A Corporate Reception Reimagined
The reception redefined the corporate and diplomatic event format by replacing a static, presentation-led structure with a fluid, experience-driven approach. Guests circulated freely through a sequence of immersive environments before transitioning into curated program moments.
This structure supported large-scale attendance while maintaining comfort, clarity, and engagement, demonstrating how experiential design can elevate institutional events without compromising protocol, elegance, or operational rigor.
Canadian Expertise at a Global Scale
The project was delivered through a predominantly Canadian-led production, uniting Quebecois and Canadian creative, technical, and operational talent across all disciplines. From scenography and lighting to audiovisual production and show control, local expertise was mobilized to execute an event of international scale and diplomatic complexity.
This collaborative effort demonstrated Canada’s ability to deliver world-class experiential events, combining creative ambition with technical precision, adaptability, and disciplined execution.
Audiovisual Integration and Immersive Technologies
Audiovisual design was conceived as a core storytelling tool. Large-scale LED environments, immersive and 360-degree visual spaces, AI-driven screens, architectural projection, motion graphics, lighting design, and special effects were fully integrated into the scenography to shape atmosphere, pacing, and emotion.
Technology replaced static branding, allowing content, light, and effects to evolve dynamically as guests moved through the experience, reinforcing the event’s forward-looking themes while supporting both free circulation and live moments.
Spatial Design and Scenographic Transformation
The venue was completely reimagined through large-scale scenography and architectural storytelling, eliminating all visual references to its original configuration. Custom-built environments included a full-scale mosque courtyard replica with a custom-designed floor, immersive souks dedicated to gold, textiles, and craftsmanship, monumental arches, red carpet arrival zones, and multiple purpose-built stages.
Together, these elements transformed the space into a cohesive, story-driven environment rather than a decorated venue.
